Privacy Policy
1. Who we are
Oculusstudio is our registered business name (Australian Business Number ABN 70 469 511 774). We operate the HEYKIN / HEYKIN Studio coaching services (including Parenting Coach and Life Coach) for customers worldwide. In this policy, "we", "us", and "our" refer to Oculusstudio. Our public website and web application are available at oculusstudio.co (and related domains we operate). This policy is published in English; if we provide a translation, the English version prevails in case of conflict unless local law requires otherwise.
2. Scope of this policy
This Privacy Policy applies to personal data we process when you use our website, web app, mobile applications, questionnaires, customer support channels, and related services that link to this policy. It does not apply to third-party sites or services that we do not control (for example, your device operating system, app store, or bank), which are governed by their own terms and privacy notices.
3. Personal data we collect
Depending on how you use HEYKIN, we may collect the following categories of information:
• Account and identity: such as name, email address, password (stored using strong one-way hashing), preferred name, gender or salutation where you choose to provide it, partner or referral codes, and subscription or plan identifiers.
• Profile and coaching context: values, goals, parenting or life-coaching preferences, attachment or temperament insights, mood or wellbeing check-ins you submit, and similar fields you enter in the product.
• Family and child-related information: limited details you provide about your children (for example name, age or date of birth, gender, temperament, love languages, or screening results) solely to personalise parenting guidance. We do not knowingly allow children under 18 to create their own accounts.
• Assessments and forms: responses submitted through integrated form providers (such as JotForm), including screening questionnaires.
• Coaching interactions: chat messages, role-play or training content you submit, and optional voice input when you use voice features (see section 4).
• Technical and usage data: IP address, approximate location derived from IP, device type, operating system, app version, diagnostic logs, timestamps, security signals, and similar metadata needed to run and protect the service.
• Payment-related data: subscription status, transaction references, and billing contact details. Card numbers are handled by payment processors; we do not store full payment card numbers on our servers.
• Communications: messages you send to us (for example support requests) and operational emails such as password resets or service notices.
4. Sensitive and optional features (voice)
Where you enable voice mode, the app may access the device microphone and use speech recognition to convert your speech to text for coaching. We may send text to our AI and voice partners to generate responses and text-to-speech audio (for example via ElevenLabs). Audio is processed to deliver the feature; we do not use your voice recordings to train our own public machine-learning models. Third-party voice and speech providers process data under their own privacy policies and technical controls in addition to our agreements with them.
5. How we use your personal data
We use personal data to: create and secure your account, authenticate you, and provide the coaching experience you request; personalise AI coaching, summaries, profiles, and recommendations based on information you provide; process payments and subscriptions, including via card billing and mobile app stores; operate voice features, hosting, databases, email delivery, analytics strictly needed for reliability and security, and customer support; comply with law, respond to lawful requests, and enforce our Terms and Conditions; improve the service using aggregated or de-identified information where permitted.
We do not sell your personal data and we do not use it for cross-context behavioural advertising as described in major U.S. state privacy laws.
6. Legal bases (EEA, UK, Switzerland, and similar jurisdictions)
Where GDPR or comparable laws apply, we rely on one or more of the following legal bases: performance of a contract (providing the service you subscribe to); consent where we ask for it (for example non-essential cookies on the website, or optional features you turn on); legitimate interests that are not overridden by your rights (such as securing our systems, preventing abuse, and limited product analytics); and legal obligation where the law requires us to retain or disclose information.
7. Payments, app stores, and subscription management
Depending on your platform, subscriptions may be processed by Stripe (card and web billing), or by Apple App Store / Google Play billing together with RevenueCat (or similar tools) to validate entitlements and manage in-app purchases. Those providers receive personal data needed to complete payments (such as identifiers and purchase records) under their own notices. When you pay through Apple or Google, payment disputes are generally handled under their policies.
8. Subprocessors and categories of recipients
We use carefully selected service providers who process personal data on our instructions and under written terms, including confidentiality and (where required) data processing agreements. Examples include Microsoft Azure (hosting, database, and Azure OpenAI for AI coaching), Stripe (payments), Twilio SendGrid (transactional email), JotForm (assessments), ElevenLabs (voice synthesis), RevenueCat (in-app subscription tooling), and Apple / Google (app distribution and store billing). We do not authorise subprocessors to use your personal data for their independent marketing.
9. International transfers
We are based in Australia and may process and store personal data in Australia and in other countries where our providers operate (including the United States and the European Economic Area). Where required by law, we implement appropriate safeguards for transfers (such as Standard Contractual Clauses approved by the European Commission, the UK International Data Transfer Agreement or Addendum, or other lawful transfer mechanisms). You may contact us for more information about safeguards relevant to your region.
10. Security and retention
We use industry-standard measures including encryption in transit (HTTPS/TLS), access controls, monitoring, and secure cloud infrastructure. No method of transmission or storage is completely secure; we encourage strong passwords and device security.
Retention: we keep personal data while your account is active and for a short period afterwards as needed for backups, fraud prevention, or legal compliance. After you delete your account, we aim to delete or irreversibly anonymise personal coaching content and profile data within 30 days, except where a longer period is required by law or to resolve disputes. We may retain limited aggregated or de-identified statistics that cannot reasonably identify you.
11. Cookies and similar technologies (website)
On our website and web app we use essential cookies (for example a session cookie) to keep you signed in and protect the service. Where local law requires consent for non-essential cookies or similar technologies, we will ask before using them. You can control cookies through your browser; disabling essential cookies may prevent login.
12. Your privacy rights
Depending on where you live, you may have rights to access, rectification (correction), delete, export, restriction, or object (including objection on grounds relating to your particular situation where applicable) to certain processing, to withdraw consent where processing is consent-based, and to lodge a complaint with a supervisory authority. We will respond within a reasonable period and, where applicable, within 30 days (or as required by local law).
• European Economic Area, United Kingdom, and Switzerland: rights under the GDPR (or UK GDPR / Swiss law as applicable), including complaint to your lead supervisory authority.
• Australia: rights under the Privacy Act 1988 and Australian Privacy Principles, including complaint to the Office of the Australian Information Commissioner (OAIC).
• New Zealand: rights under the Privacy Act 2020 and complaint to the Office of the Privacy Commissioner.
• Canada: rights under PIPEDA (or provincial law) and complaint to the Office of the Privacy Commissioner of Canada where applicable.
• United States (including California): we do not sell or share personal information for cross-context behavioural advertising. Residents may have additional rights under state laws (for example California's CPRA) such as to know categories of data collected, to request deletion subject to exceptions, and to appeal certain decisions; we do not discriminate for exercising rights.
• India: rights under the Digital Personal Data Protection Act, 2023, including grievance handling; you may designate an authorised representative where permitted.

13. Children's privacy
Our services are intended for adults (typically 18+). Information about minors is provided only by a parent or legal guardian for parenting-related features. If you believe a child has created an account or sent us personal data without appropriate authority, contact us and we will take appropriate steps to delete it.
14. AI services, profiling, and wellness disclaimer
HEYKIN uses artificial intelligence (including large language models via Azure OpenAI) to generate coaching-style responses. Outputs are probabilistic and may be incomplete or unsuitable for your situation. HEYKIN is not a substitute for licensed medical, mental-health, legal, or other professional advice, emergency services, or crisis care. If you or someone else may be at risk, contact local emergency services or a qualified professional immediately.
We do not use your private coaching conversations to train publicly available foundation models for our own purposes. Our subprocessors may process inputs under their commercial AI terms and security programmes; we configure services to minimise unnecessary retention where settings allow.
Automated processing is used to assist coaching; it does not produce legally significant effects about you on its own in the sense of solely automated decision-making under GDPR Article 22, and you should exercise your own judgment when acting on suggestions.
15. Data breaches
If we become aware of a breach of security leading to accidental or unlawful destruction, loss, alteration, or unauthorised disclosure of personal data, we will assess risk, take containment steps, and notify regulators and affected individuals as required by applicable law.
16. Changes to this policy
We may update this Privacy Policy to reflect product, legal, or regulatory changes. We will post the new version with an updated "Last updated" date and, where changes are material, provide additional notice (for example by email or in-app message). Continued use after the effective date constitutes acceptance of the updated policy where permitted by law.

1. Nature of Service and Not Professional Advice
HEYKIN provides AI-powered coaching tools for informational and supportive purposes. Our service is not a substitute for professional medical, psychological, psychiatric, or therapeutic care. If you or someone you care for is in crisis, experiencing thoughts of self-harm, or needs urgent mental health support, please contact emergency services or a qualified healthcare provider immediately.
2. Acceptance of Terms
By creating an account, completing assessments, or using our coaching features, you confirm that you have read, understood, and agree to these Terms and our Privacy Policy. If you do not agree, do not use our services.
3. Eligibility and Account Security
You must be at least 16.
4. Use of AI and Data
Our AI systems process your input to generate personalized responses. We use industry-standard security measures and comply with applicable data protection laws (including GDPR and Privacy Act). 5. Appropriate Use
You agree not to use our services to:
- Harm yourself or others
- Obtain or provide advice that should come from a licensed professional
- Transmit unlawful, abusive, or harmful content
- Circumvent security measures or misuse our systems

6. Subscription, Payment, and Refunds
Paid subscriptions are billed in accordance with the plan you select. You may cancel at any time. Refund policies are stated at the point of purchase. Free trials may apply as described during sign-up.
7. Intellectual Property
Our content, branding, and technology are owned by us or our licensors. You may not copy, modify, or distribute our materials without permission.
8. Disclaimer of Warranties
Our services are provided "as is." We do not warrant that the AI outputs are accurate, complete, or suitable for your situation. You use our service at your own risk.
9. Limitation of Liability
To the fullest extent permitted by law, we are not liable for any indirect, incidental, or consequential damages arising from your use of our services. Our total liability shall not exceed the amount you paid us in the twelve months preceding the claim.
